How to Use the
Valpay Reporting Portal
About
H&L Pay is powered by the Valpay payment solution. The Valpay Reporting Portal allows merchants to review and export their H&L Pay activity.

Navigating the Valpay Reporting Portal
- You should have been provided with a user account to access your merchant account reports. Contact H&L support if you need access to the reporting portal.
- Navigate to https://reporting.valpay.com/ from any web browser, and sign in.
- Use the left-hand side bar to navigate the different pages of the Valpay Reporting Portal

- Note: Access to some of these pages may be restricted based on the Valpay portal user’s role.
Dashboard
- Provides an overview of gross sales for last 10, 20 or 30 days.
- Sales data includes a monthly sales total, sales by date, and recent transactions.
- Hover over a day to see totals by interaction type.
- Select a recent transaction to view its full details.
- Note: Dashboard figures are shown using the calendar date of the viewing device. They may differ from the H&L trading period totals.
Transactions
- View individual payment transactions processed through your merchant account.
- Use the quick filter panel on the left to filter results.
- Add more filters using the Add Filter button in the top toolbar (e.g. filter by store).
- Use the Columns button choose which columns to hide or display.
- Click the Refresh button to reload the list of transactions.
- Select a transaction to view its full details.
- You can refund a payment from the transaction view by clicking the REFUND button.
- A green notification will confirm if the refund is successful. The refund transaction will then appear in the Transactions page list.
- If the refund also needs to be processed through H&L, complete the sale and refund using a bypass integrated EFTPOS or “moto” finaliser key in Exceed.
Deposits
- View a list of deposits to your bank account.
- Use the quick filter panel on the left to narrow the deposit list.
- Add more filters using the Add Filter button in the top toolbar (e.g. filter by store).
- Use the Columns button choose which columns to hide or display.
- Select a deposit to view its summary and the list of transactions that make up that deposit.

Exports
- From the Exports page, you can filter transaction or deposit records and export them to an XLSX file (Microsoft Excel Open XML Spreadsheet file format).
- Select the Export Transactions tab or Export Deposits tab at the top of the page.
- Select the TimeZone (for transaction exports only) and Store from the dropdowns in the top-right corner.
- Use the quick filter panel on the left, then click APPLY FILTERS.
- To the right of the filtered records, select Columns or Filters to adjust column visibility or apply advanced filtering.
- Click EXPORT RESULTS to create and download an XLSX file of the filtered records.
- Note:
Deposits for Friday, Saturday and Sunday are combined into one entry each Monday.
Click Pivot Mode in the Columns menu to display the sum of values.
Use the Use Legacy Export toggle at the top of the page to export as a CSV file instead. In legacy mode, click + Create to generate the export, then download it by clicking the file in the list.

Statements
- Select a store from the top bar to view available statements.
- Click the DOWNLOAD button next to a statement to begin downloading it.
- After a short delay, a confirmation message will indicate the statement is ready to OPEN.
- Statements include all merchant deposits for the statement period.

Users
View a list of users who have access to your store.
Use the quick filter panel on the left to filter users.
Adjust visible user details with the Columns and Add Filter buttons.
Click the DELETE button to remove a user.
Click + Create to add a new with the Regular User role
The Regular User role users can access the Transactions and Deposits pages.
The Mercahnt Admin role has access to all pages except the virtaul temrinal by default, but can only add users with the Regular User role.
Contact H&L support if you require additional Merchant Admin role users, or to add Virtual Terminal access to an existing Merchant Admin user.
Enter the user’s first name, surname and email address, and confirm the email.
Select H&L as the brand, then assign the merchant account and store. You can assign multiple accounts and stores if available.
The new user will receive an email invitation with a temporary password, which must be changed before it expires. If the user account invite expires it can be deleted and recreated.

Virtual Terminal
- Use the Virtual Terminal to create sale-type transactions directly within the Valpay portal.
- If this transaction also needs to be recorded in H&L, complete the sale in Exceed using a bypass integrated EFTPOS or “moto” finaliser key.
- Enter the transaction type, amount, currency and store. Click NEXT.
Note: Surcharges are not automatically added to Virtual Terminal payments. If required, add the required surcharge to the amount value when entering.
- Enter the card and billing address, then click the Pay button to finalise the transaction.
- A confirmation screen will display a summary of the payment. Click PRINT DETAILS to generate a print-friendly version.
